RenterIQ is committed to protecting your privacy. This policy explains what information we collect, how it is used, and the choices you have. We've written it to be readable, not to bury you in legal language.
RenterIQ never sends your identity documents to our servers. There is no path that uploads driver licences, passports, Medicare cards, payslips, bank statements, or other "100-point" identification material to us. If you store one in the app, it is encrypted on your device and stays there; only lightweight metadata (that you hold the document and its 100-point value) is saved to your account, never the file.
When an agency or landlord asks for these documents at application time, you attach them directly from your own device storage (iCloud, OneDrive, Google Drive, Files app, photos) to their portal, email, or in person. RenterIQ is never in the submission chain for identity material.
This is a structural commitment, not just a policy promise. Because the files never reach us, there is no central store of renter IDs on our servers to over-collect or expose. The approach was informed by the Office of the Australian Information Commissioner's determination on a rental application platform, which found over-collection of personal information by another operator in this market.

When you use RenterIQ, you may create inspection reports, upload photos, paste lease text, or save property information. If you use RenterIQ without an account, this data stays in your browser on that device. Once you sign in, your tenancy documents are saved to your private cloud account so they sync across your devices and are not lost if you clear your browser, with a copy also cached on your device for offline use. Identity documents are handled separately and are never uploaded (see above).

This information is used only to understand how the site is used and to diagnose technical issues. It is not linked to any personal identity.
When you use the lease review, inspection analysis, exit comparison, or cover letter features, the text or file you submit is sent to our AI language-model provider to produce a plain-English summary. We do not store or retain the text after the analysis is returned to you. We recommend removing personal identifying information (such as your full name and address) before submitting documents for analysis.

RenterIQ handles two kinds of information very differently:
Your cloud-stored data sits behind your authenticated account and access rules that limit each record to the user who created it. No system is perfectly secure, so we still recommend keeping your own copies of important reports (such as your entry condition report) by exporting them to your email or your own cloud storage.
RenterIQ uses a small number of trusted third-party service providers to deliver the App:
We do not use advertising networks, social media tracking pixels, or analytics platforms that profile individual users. A current list of the specific providers we use is available on request from support@renteriq.com.au.
RenterIQ handles personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Under the APPs you have the right to:
Your tenancy documents are held in your private cloud account, and your identity documents stay on your device. You can wipe your cloud records at any time from Profile → Data & Privacy → Delete All Data, and clear the on-device copy by clearing your browser storage. For anything else we hold (such as support emails), email support@renteriq.com.au and we will respond within 30 days.
If you are not satisfied with how we have handled a privacy concern, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
RenterIQ complies with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988. If an eligible data breach occurs that is likely to result in serious harm, we will notify affected users and the OAIC as soon as practicable and in any case within 30 days of becoming aware of the breach.
Vault items and tenancy records you save in RenterIQ are kept for as long as your account is active. We track a last active timestamp on each account (refreshed every time you sign in or sync data) solely so we can identify and remove accounts that are no longer being used.
Inactive accounts. We periodically review and remove accounts that have been inactive for an extended period, generally around 18 months without a sign-in. Where we hold a valid email address for the account, we aim to send a reminder before removing it. When an account is removed, the user document, all subcollections (leases, audits, reports, communications, reminders, etc.) and associated files in cloud storage are deleted. You can also remove your account yourself at any time (see below), so you never need to wait for this review.
Right to delete on demand. You can wipe every record on your account at any time from Profile → Data & Privacy → Delete All Data. The wipe runs immediately against the user's Firestore documents and clears the local browser cache. Your authenticated account itself stays so you can sign back in and start fresh; use Delete Account instead if you want to remove the account as well.
Support correspondence is retained for up to 12 months unless you request earlier deletion. When you delete your account, personal data is removed from our active systems within 30 days; backups are purged within 90 days.
RenterIQ is intended for use by adults (18 years and over) entering into or managing residential tenancy agreements. We do not knowingly collect information from children under 18.
We may update this policy as the app evolves. Material changes will be noted on this page with an updated date. Continued use of RenterIQ after a policy update constitutes acceptance of the revised policy.
