Privacy Policy

Last updated: April 2026 · Applies to RenterIQ web app and landing page

Overview

RenterIQ is committed to protecting your privacy. This policy explains what information we collect, how it is used, and the choices you have. We've written it to be readable — not to bury you in legal language.

RenterIQ stores your inspection data, photos, and reports locally on your device using your browser's storage. We do not upload, sell, or share your personal documents with any third party.

Privacy by design — identity documents

RenterIQ has no capability to store identity documents. The product does not include an upload path for driver licences, passports, Medicare cards, payslips, bank statements, or other "100-point" identification material. We do not collect them, encrypt them, or pass them through our servers.

When an agency or landlord asks for these documents at application time, you attach them directly from your own device storage (iCloud, OneDrive, Google Drive, Files app, photos) to their portal, email, or in person. RenterIQ is never in the submission chain for identity material.

This is a structural commitment, not a policy promise — it's enforced by the absence of any feature that accepts those files. The decision was informed by the Office of the Australian Information Commissioner's determination on a rental application platform, which found over-collection of personal information by another operator in this market.

For the plain-English explanation of how this works in practice, see Privacy by design.

1. Information We Collect

Information you provide

When you use RenterIQ, you may create inspection reports, upload photos, paste lease text, or save property information. This data is stored locally on your device and is not transmitted to RenterIQ servers unless you explicitly share or export it.

Information collected automatically

When you visit the RenterIQ website, standard web server logs may record:

This information is used only to understand how the site is used and to diagnose technical issues. It is not linked to any personal identity.

Lease & document analysis feature

When you use the lease review, inspection analysis, exit comparison, or cover letter features, the text or file you submit is sent to our AI language-model provider to produce a plain-English summary. We do not store or retain the text after the analysis is returned to you. We recommend removing personal identifying information (such as your full name and address) before submitting documents for analysis.

2. How We Use Information

We use the limited information we collect solely to:

We do not use your information for advertising, profiling, or any purpose beyond operating and improving RenterIQ.

3. Data Storage & Security

Your inspection reports, photos, and documents are stored in your browser's local storage (IndexedDB / localStorage). This data stays on your device. It is not backed up to RenterIQ servers and is not accessible to us.

This means:

We recommend regularly exporting and saving copies of your important reports, particularly your entry condition report, to a secure location such as your email or cloud storage.

4. Third-Party Services & Sub-processors

RenterIQ uses a small number of trusted third-party service providers to deliver the App:

We do not use advertising networks, social media tracking pixels, or analytics platforms that profile individual users. A current list of the specific providers we use is available on request from support@renteriq.com.au.

5. Your Rights Under the Australian Privacy Principles

RenterIQ handles personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Under the APPs you have the right to:

Because most of your data is stored locally on your device, you can delete it at any time by clearing your browser storage or signing out and removing the app. For information held by us (support emails, cloud-synced vault items), email support@renteriq.com.au and we will respond within 30 days.

If you are not satisfied with how we have handled a privacy concern, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

6. Data Breach Notification

RenterIQ complies with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988. If an eligible data breach occurs that is likely to result in serious harm, we will notify affected users and the OAIC as soon as practicable and in any case within 30 days of becoming aware of the breach.

7. Data Retention & Inactive Account Deletion

Vault items and tenancy records you save in RenterIQ are kept for as long as your account is active. We track a last active timestamp on each account — refreshed every time you sign in or sync data — solely so we can identify and remove accounts that are no longer being used.

Inactive accounts. Accounts that have not been signed in to for 18 consecutive months will be deleted under our retention policy. We will email the account holder at least once before the deletion proceeds. When deletion runs, the user document, all subcollections (leases, audits, reports, communications, reminders, etc.) and associated files in cloud storage are removed.

Right to delete on demand. You can wipe every record on your account at any time from Profile → Data & Privacy → Delete All Data. The wipe runs immediately against the user's Firestore documents and clears the local browser cache. Your authenticated account itself stays so you can sign back in and start fresh; use Delete Account instead if you want to remove the account as well.

Support correspondence is retained for up to 12 months unless you request earlier deletion. When you delete your account, personal data is removed from our active systems within 30 days; backups are purged within 90 days.

8. Children

RenterIQ is intended for use by adults (18 years and over) entering into or managing residential tenancy agreements. We do not knowingly collect information from children under 18.

9. Changes to This Policy

We may update this policy as the app evolves. Material changes will be noted on this page with an updated date. Continued use of RenterIQ after a policy update constitutes acceptance of the revised policy.
